Booking system for studios: 4 new Zenamu features

Over the past few months at Zenamu, we've been putting the finishing touches on four major new features 4️⃣ 💪.

All of them grow out of situations you regularly deal with at your studio or in your own practice:

  • a class doesn't fill up enough
  • one type of pass doesn't suit everything you offer
  • a regular client stops coming
  • a room sits empty for part of the day

So here it is: our big summer release ☀️

Four new Zenamu features for studios: automatic cancellation, pass categories, marketing automations, and space rental

1️⃣ No more checking underbooked classes by hand

It's not always worth running a class for one or two clients. Checking every session one by one, writing last-minute apologies and cancelling, or running the class anyway, is a labor of love. If it happens often, though, the constant schedule-watching and headcounts eat up your time and headspace.

You can now set a minimum occupancy in Zenamu, along with how far in advance to check it. If too few people have booked, Zenamu cancels the session automatically, lets your clients know, and takes care of the refunds.

A default rule sets the limits for all your classes or events. You can then adjust it for specific sessions, or turn automatic cancellation off completely for the ones that should run no matter what.

2️⃣ One pass no longer has to cover everything

Different classes have different prices, capacities, and running costs. One universal pass won't suit everyone.

You can now split your passes into separate categories and decide exactly which classes clients can use them for. For example, you can offer passes valid:

  • only for reformer Pilates classes
  • only for weekend workshops
  • only for classes with a particular instructor

You're free to create a category just for a selected type of class, or one for each instructor who teaches at your studio. Clients buy a pack of entries and use it only on those specific classes.

Within one category, you can offer several variants, such as 5, 10, or 20 entries with different prices and validity. Same as before.

This keeps the different parts of what you offer separate. A cheaper pass for regular classes can't be used on the pricier reformer sessions, and a pack bought with one instructor stays reserved for their classes.

3️⃣ Reach out to clients at the right moment

Some clients stop coming for no particular reason. Their routine changes, they miss a few weeks, and the habit of regular visits slowly fades. That doesn't have to mean they don't want to come back.

The new marketing automations handle this for you. They automatically send a birthday greeting or a win-back email to clients who haven't shown up in a while. You choose when the message should go out, and you can edit its subject and content to match your own tone.

Zenamu tracks each client's last visit. You can add a gift voucher to the greeting or the invitation to come back. The client doesn't have to copy any code. The voucher attaches to their account automatically and comes up at their next payment. In the stats, you'll see how many messages were delivered and how many clients actually used their voucher.

The automations run continuously in the background and reach out when it makes sense.

4️⃣ An empty room costs money. A rented one earns it.

Rent, heating, and water cost the same whether the room is full or empty. Now you can offer your free hours for studio space rental to other organisers and turn part of those fixed costs into extra income.

You create a listing for each room. You set the price, availability, amenities, photos, and the rules a renter has to agree to. You also decide whether you want to approve every request yourself or allow instant confirmation.

Zenamu makes sure a rental never clashes with your classes, courses, or appointments. As soon as you confirm a booking, the room is blocked across your whole schedule.

There's no second calendar to keep and no conflicts to check by hand.

The money goes straight to you, the paperwork is generated automatically, and your cancellation policy determines what happens when a booking is cancelled. If a renter doesn't show up, the payment can stay with you.
