Cancellation terms that protect your calendar

So late cancellations and no-shows stop costing you money

Zenamu lets you set your own cancellation terms for your studio or gym: how late clients can cancel, what a late cancellation costs, and how the refund is handled. An empty spot no longer quietly costs you the class.

Automatic cancellation handling

Cancellation terms, your way

You decide the rules, and Zenamu enforces them on every booking across classes, courses, and appointments, so you protect your time without policing it by hand.

Set your cancellation deadline

Decide how late a client can cancel their own booking, whether that's a day before or two hours before the class starts.

Tiered cancellation fees

Charge nothing for early cancellations and a rising percentage as the class approaches. The fee is kept and the rest is refunded automatically.

Automatic refunds

Card, PayPal, credits, passes, and memberships are refunded automatically to the right place; bank transfer and cash are flagged for you to confirm.

Make-up sessions instead of refunds

Let clients who cancel a course session in time earn a make-up they can spend on another class, and choose which classes accept them.

Clients cancel themselves

Within the window you set, clients cancel from their own account, so the spot frees up without an email to you or a gap in your calendar.

Your rules, with room for exceptions

Run one policy across the studio, set different cancellation terms for your courses and workshops, and override any booking yourself when you need to.

Clear order statuses

See at a glance what's paid, awaiting refund, refunded, or partially refunded, so no refund gets missed.

Everyone stays informed

When a booking is canceled, Zenamu emails the client and you automatically, so a cancellation never goes unnoticed.

Looking for the legal side too? See liability waivers, and set your refund rules alongside the rest of your payments.

Cancellation policy FAQ

Can I set a cancellation deadline and fees?

Yes. You set how late clients can cancel and, if you want, a cancellation fee that rises as the class gets closer. The fee is kept and the rest is refunded, so a late cancellation no longer leaves you with an empty spot.

What happens to the payment when a client cancels?

Card, PayPal, credits, passes, and memberships are refunded automatically according to your policy. Bank transfers and cash are flagged as awaiting refund, so you can send the money and confirm it.

What are make-up sessions?

When a client cancels a course session in time, they can earn a make-up to spend on another class instead of a refund. You decide which classes accept make-ups, so it keeps clients coming back without giving money back.

Can clients cancel themselves?

Yes. Within the window you set, clients cancel from their own account and the spot frees up without any work from you. After the deadline, only you can cancel, so you stay in control.

Can I set different cancellation rules for workshops or courses?

Yes. You can run one cancellation policy across your studio, set different cancellation terms for your courses and workshops, and control make-up sessions per course. For workshops, you can even turn off online self-cancellation so clients contact you directly.
